A first conversation about a household's finances

There are three ways to reach the practice, and they suit different things.

Meetings are by appointment. Most first conversations happen by telephone or video, because there is nothing in a first conversation that needs a room.

Who to write to about your information

For anything concerning your personal information, including a request to see what is held about you, to have it corrected, or to have it deleted, write to the person responsible for the protection of personal information. The name and address are on the privacy policy, together with how long each category of information is kept and which service providers are involved.

A request about your own information does not go through the general enquiry address, because it is handled under a different obligation and has its own time limit.

What happens to an enquiry

An email or a message is read by a person, not routed through a system that sorts it. It is answered by the practice rather than passed to a call centre, because there is not one.

What you send is used to answer your request and for nothing else. It is not sold, and it is not passed to anyone who is not working on your request. If you later ask to be forgotten, the record is deleted and you do not have to give a reason.

If you agreed at some point to receive commercial electronic messages, you can withdraw that consent at any time, and every message carries a link that does it in one step. Withdrawing consent to marketing does not affect an enquiry already in progress.

If you are contacting us about a complaint

Say so plainly at the top of the message. A complaint is handled under a different process from an enquiry, it is recorded, and it has its own time limit for a response.

If you are not satisfied with how it is handled, an insurance complaint in Quebec can be taken to the Autorité des marchés financiers, which will examine the file independently of the practice. That route exists whether or not anybody here mentions it, which is why it is mentioned here.

If you are already a client

Reviews happen annually, and you do not have to wait for one. A policy loan, a repayment, a change in circumstances, a house, a business, a child starting university, or a change in the dividend scale are all reasons to make contact between reviews rather than after them.

If a policy is in force and something has changed about your health, your occupation or your travel, tell the insurer through the practice rather than assuming it does not matter. Some changes affect a contract and some do not, and the difference is not obvious from outside.

Can I send my policy number or medical details by email?

No. Do not send policy numbers, account numbers, dates of birth or medical information through ordinary email or a web form. Neither is a secure channel, and none of that information is needed to answer a first question. Where a document genuinely is required, you will be told how to send it safely rather than asked to attach it. The reason is practical rather than procedural: an email sits in transit and in two mailboxes, and a policy number combined with a date of birth is enough to begin an impersonation. Send the question, and let a secure route be arranged for the details.

How quickly will I get a reply?

A message sent through the enquiry form reaches the same inbox as the published email address, and you will have a reply within one business day. It is read by a person rather than routed through a system that sorts it, and it is answered by the practice rather than passed to a call centre, because there is not one. Where is the office, and can I meet in person?

Tax note. Tax treatment depends on the policy remaining exempt under Regulation 306 of the Income Tax Regulations and on your own circumstances. A policy loan is a disposition under ITA s.148(9). Amounts above the adjusted cost basis may be taxable, and if the policy lapses or is surrendered while a loan is outstanding, the gain becomes taxable in that year. Consult a qualified tax professional before acting.
